How We Work
A structured, systematic methodology that produces complete, verifiable documentary records of residential property condition.
Systematic Documentation Produces Reliable Evidence
The value of a condition survey depends entirely on its methodology. An informal record — even one with many photographs — provides limited protection if it lacks systematic coverage, technical descriptions, and a verifiable chain of custody.
Our process is designed around a single objective: producing a document that can function as objective evidence if a dispute arises over the property's condition. Every step in the process serves that objective.
The result is a structured report that documents every element of the property — not what the surveyor happened to notice, but every wall, floor, ceiling, fixture, and appliance, assessed and described according to a defined technical scale.
The Survey Process in Detail
Scheduling and Coordination
Contact us to schedule the survey at the time of property handover or return. We coordinate directly with all parties — landlord, tenant, and property administrator if applicable — to ensure the survey takes place at the appropriate moment.
The survey must be conducted at the actual moment of handover or return, not before or after, so that the documented condition accurately reflects the property's state at the relevant legal moment.
Pre-Survey Preparation
Before the survey begins, the surveyor reviews the property's floor plan and prepares a systematic checklist covering all areas and elements to be documented. This preparation ensures that the survey follows a consistent, repeatable structure.
Equipment is prepared and tested to ensure that all photographs will meet the required resolution and quality standards. The documentation protocol is reviewed to confirm that all required elements will be covered.
Systematic Room-by-Room Survey
The surveyor proceeds through the property room by room, following the prepared checklist. Each room is documented with overview photographs establishing spatial context, followed by systematic coverage of every wall, floor, ceiling, window, door, and fixture.
Special attention is given to areas showing existing wear, marks, or damage. These are documented with close-up photography and detailed written description, distinguishing between normal wear consistent with the property's age and condition, and damage that is notable or attributable to specific causes.
Report Compilation
Following the survey, all photographs and technical descriptions are compiled into a structured report. The report is organized by room and element, with each photograph paired with its corresponding written assessment.
The report includes a summary section identifying any elements of particular note, as well as a complete index of all documented areas and elements. The structure ensures that the report can be navigated clearly by any party reviewing it.
Digital Signing, Timestamping, and Delivery
The completed report receives a qualified digital signature and a verified cryptographic timestamp. The digital signature establishes the identity of the professional responsible for the survey; the timestamp establishes exactly when the documentation was finalized.
The signed report is delivered as a structured PDF to all parties. The document's integrity can be independently verified at any time, confirming that it has not been altered since signing.
